Fleet management
Central Scotland Motorhome Hire — Van Fleet System
The short version
A van hire business that was running a large fleet from a spreadsheet and an inbox got a fleet system built from its own data, with every van's paperwork in one place.
Central Scotland Motorhome Hire is best known for motorhomes, but alongside that it runs a separate van hire business: vans bought mostly on finance and hired out on long-term rolling contracts to delivery drivers and logistics companies, plus a smaller line renting vans in from suppliers and hiring them on.
The whole van fleet ran on a spreadsheet emailed back and forth, plus an inbox. The spreadsheet existed in several versions, with the same finance companies spelled many different ways and road tax and mileage buried in free-text notes. Finance agreements, insurance certificates, MOTs and fines lived in email, never filed against the van they belonged to. "Who had this van on this date?", the first thing anyone asks about a parking fine or a claim, was answered from memory and by digging through old emails. The same document could go to the same hirer several times, because there was no record of what had already been sent, and hire agreements were filled in on a third-party form that didn't fit how the business works.
We built a fleet system around the business's own vans, hirers and paperwork, loaded with its real data from day one, not a demo. Each van has one record: registration, finance agreement, who has it now and who had it before, MOT and road tax, and every document for that van, ready to download. The dashboard lists the jobs waiting rather than a page of numbers: what needs sending, what's missing, what's coming up for renewal, and which finance agreements end in the next year.
Paperwork files itself. The system reads the business mailboxes and files documents against the right van, scanned finance agreements from the accountant included. Road tax dates come from DVLA confirmation emails, and MOT status refreshes every week from the government's MOT data. Enter a fine and the system looks up who had the van that day. Each vehicle page shows whether it has paid for itself yet. Hire agreements are now numbered, checked, produced as PDFs and signed electronically inside the system, replacing the old third-party form, and one search box finds any van, hirer or document.
What the system holds now: documents filed against vans went from about 100 to more than 2,000; road tax dates are known for most of the fleet; and over 120 fines and claims are recorded as incidents, many matched to the hirer who had the van at the time. Building the register from the paperwork also turned up vans that were missing from the old spreadsheet.
We've worked with the owner since 2011, starting with Garden Furniture 4U, and on Central Scotland Motorhome Hire's systems for at least five years. This system was built with the owner, not handed over. We worked through the fleet spreadsheet together, sat down to go through the system in person, and wrote a plain-English manual covering every screen. Errors that turned up were fixed with automated tests so they stay fixed, small requests like a spreadsheet of one make of van just get done, and improvements keep coming: weekly MOT data was switched on as soon as access came through, and every page now links straight from a van to its hirer, its finance agreement and its documents.
